Smarter Systems, Stronger Profits

When Solid Property Services, a San Diego-based commercial cleaning company, set out to boost its bottom line, it faced a common industry challenge: balancing revenue growth with increased profitability. Their journey reveals a crucial insight—sometimes, the path to higher profits lies not in sales alone but in streamlining operations.

For Solid Property Services, the key to success was clear: improve gross margins. But before they could achieve this goal, they needed to address a more fundamental issue—their business systems were due for an overhaul.

Solid Property provides a wide range of services—maintenance, janitorial, landscaping—to many different clients. They needed business management software that could handle it all.

Juan Acosta, director of Operations at Solid Property Services, said their initial software didn’t have the capabilities they were looking for.

“We really didn't find many programs that could satisfy all our needs, both on the contracting side, with our cleaning contracts and our janitorial clients. We needed to satisfy many, many buckets of services that we provide.”
The operational challenges Solid Property Services faced hindered their growth and profitability:

  1. Payroll inaccuracies were common and often discovered too late.
  2. Communication of job instructions was inconsistent, relying primarily on verbal directions at each site.
  3. Their existing management software had limited accessibility, restricting team-wide usage.

These issues pointed to a clear need: a comprehensive software solution that could enhance accountability, boost efficiency, and improve team-wide communication.

Enter Aspire. Implementing this software in January 2023 led to significant improvements for Solid Property––revenue increased by $2 million, and gross margins saw a notable uptick. Beyond these financial gains, Aspire's integration catalyzed operational improvements:

  1. Enhanced Accountability
    1. Team members can access contract details on their mobile devices
    2. Eliminates information gaps and reduces miscommunication
  2. Improved Time Management
    1. Accurate work hour tracking
    2. Mobile clock-in and clock-out functionality
    3. Ensures proper compensation for employees
  3. Increased Accessibility
    1. Universal access to critical information
    2. Benefit extends across all roles: account managers, sales representatives, and service providers
  4. Streamlined Efficiency
    1. Simplifies site audit processes
    2. Enables more thorough inspections
    3. Facilitates faster, more effective communication of audit results

Now, Solid Property Services manages all of its services under one umbrella. Processes for contracts, projects, and finances are more organized and sustainable. Clarity and accountability are the norm.
“Aspire met all our needs,” said Acosta. “It incorporated all our staff and satisfied contracts, projects, and T&Ms (time and materials). We found that incredibly useful.”
